Backup & Restore

Your data is automatically backed up every night. You can also download a backup manually or restore from any saved backup in Settings.

Automatic nightly backups

Rental Flow runs a nightly backup at 4:00 AM Eastern for every active account. Each backup is a complete snapshot of all your data: properties, tenants, charges, payments, deposits, work orders, and documents.

The last 30 backups are kept. Older ones are removed automatically.

Viewing your backups

Go to Settings > Backup & Restore. The backup list shows each backup with its date and a summary: number of units, active tenants, and payments included. This loads instantly - you do not need to wait for files to download just to see the list.

Manual backup

Click Back Up Now to create a backup immediately. Useful before making major changes like deactivating a building or bulk-editing charges.

Restoring from a backup

Warning: Restoring replaces all your current data with the backup. This cannot be undone. Make a fresh backup before restoring if you are not sure.
  1. Go to Settings > Backup & Restore.
  2. Find the backup you want in the list. Check the date and summary to confirm it is the right one.
  3. Click Restore on that row.
  4. Confirm the warning dialog. The restore runs and the app reloads with the restored data.

Downloading a backup file

You can download any backup as a JSON file to keep a local copy. Click the download icon on any backup row. The file contains all your data in a structured format.

Your data is always yours. Backups are stored in your account's private storage and are not accessible to anyone else. If you ever close your account, download your backups first.
